An Overdue Task Is Information About Your System
Unfinished tasks reflect system factors (poor estimates, shifting priorities, or blockers) rather than lack of discipline.
Identify the root cause before rescheduling so the task does not get blocked again tomorrow.
Apply One of Four Decisions
Do it immediately, assign a specific new date, delegate it, or delete it entirely. Carrying overdue items indefinitely provides zero value.
If an item remains important, shrink the next action to an achievable size. If there are no real consequences, delete it to clear mental space.
- Do: Complete now if it takes a few minutes.
- Reschedule: Assign a time after resolving the blocker.
- Delegate: Hand off with context and clear response deadline.
- Delete: Purge the task if it no longer supports a goal.
Process Large Backlogs in Batches
Do not attempt to clear a massive backlog in a single day. Conduct a dedicated review, purge obsolete items, and pick a few valuable tasks.
